When creating a dashboard it can be set to public by checking the Is Public option.
A public dashboard can be viewed and edited by all users with access to the dashboard module. Omitting to check this checkbox will result in a private dashboard which by default is only accessible by the user who created it.
In some instances it is advantageous to share a dashboard with a selection of users and/or roles. Any private dashboard can be shared with other users by using the Share-functionality located in the Manage menu in the dashboard toolbar:
From the share dialog users and/or roles can be granted access to the dashboard. Sharing can be set to either Can edit or View only.
If set to Can edit full access will be given to the dashboard, including managing filter, widgets and even deleting the dashboard. If set to View only the user can only perform a very limited set of actions of the dashboard, namely:
- Edit the dashboard filter, but without the option to save the changes: This enables on-the-fly changes to the filter, but the changes will be gone on the next time the dashboard is loaded and it will not influence the filter for any other users with access to the dashboard. Note: the user will not have access to the filters for each widget, which may override the dashboard filter.
- Set as default: users may set the dashboard as the default dashboard (the dashboard to enter if dashboard is the Analytics start page).
- Clone: Will create a copy of the dashboard which the user will then have full access to modify.
